This position reports to the Finance Director.

Job Summary

As our Front Desk Administrator, you will be a cornerstone of our daily operations, ensuring each person who enters the space is greeted with warmth, respect, and clarity. You'll manage key administrative and facility support functions that help our Center run smoothly. This role is ideal for someone who enjoys juggling a mix of interpersonal and behind-the-scenes work and who values contributing to a mission-driven space where every detail matters.

Key Duties and Responsibilities

Front Desk & Guest Services

  • Serve as the primary front desk presence during all open hours; greet all guests and visitors.

  • Monitor guest sign-ins and support a welcoming, safe environment.

  • Ensure front desk area is stocked, tidy, and ready to support both guests and staff.

Phone & Communication Support

  • Answer and route incoming phone calls professionally.

  • Check and respond to general info@ email inquiries, forwarding messages as needed.

  • Maintain updated voicemail greetings and monitor messages regularly.

Mail & Supplies

  • Check mail daily; sort and distribute to staff.

  • Track and log supply needs and assist with placing orders.

  • Coordinate purchasing and requisitions for day-to-day Center needs.

Facility Maintenance Support

  • Monitor general cleanliness and function of the lobby, guest bathrooms, and common areas.

  • Report facility concerns and assist with basic maintenance follow-up (e.g., light bulbs, spills, supply restocks).

  • Communicate with vendors as needed for minor repair or supply delivery coordination.

Team Support & Operations

  • Assist Executive Director and Finance Director with scanning, filing and other administrative tasks.

  • Support other staff as needed with printing, meeting setup, and scheduling coordination.

  • Participate in daily opening and closing duties as assigned.

  • Be a part of maintaining the rhythm and reliability of Center operations.

Qualifications

Required

  • 2 years experience in front desk, customer service, or administrative support roles.

  • Basic proficiency with email, Google Suite, and phone systems.

  • Strong organizational and communication skills.

  • Reliable, punctual, and able to work independently.

  • Commitment to gender justice, racial equity, and anti-oppression.

  • Ability to interact with compassion, empathy, and trauma informed communication across a range of mental health and housing needs.

  • Willingness to complete First Aid/CPR certification within 30 days of hire.

Preferred

  • Experience in a social services or nonprofit setting.

  • Multilingual skills.

  • Familiarity with trauma-informed de-escalation approaches.

  • Comfort managing supply inventories or facility-related coordination.

Work Schedule and Location

  • This is a fully in-person role at our Day Center in Portland.

  • A computer and phone will be provided for work use.

  • Masks are required for all in-person services.

  • Some physical activity such as light lifting (under 30 lbs) and walking may be involved.
